Alphacim V7 modules in detail
User access
The Alphacim administrator can now control each user’s access rights to modules and tabs on forms.
Quotation module
The quotation module within Alphacim allows your company to undertake the following:
- Create either an overall quotation with minimum information contained within the quotation or create a detailed quotation with all assemblies and operations.
- Enter new quotation and associate a unique quotation number, customer reference, cost band and an expected product delivery date.
- Attach any electronic documents to a quotation and any associated notes.
- Create a quotation structure using assemblies and sub-assemblies either from inputting information manually or loading information from the Alphacim library or copying an existing quotation into a new quotation.
- Calculate the overall cost for operations carried out internally and also the cost of associated material and allow a user to add a mark-up if required.
- Print out quotations.
- Monitor the status of quotations.
- Monitor sales related to a salesperson, sales area and companies sold to.
- Translate a quotation into an order when the quotation has been accepted.
Order processing module
The order-processing module within Alphacim is designed to allow your company to undertake the following:
- Enter a new customer order and associate a unique order number, a customer reference, a cost band, a start date for production, a chase date for production and a product delivery date.
- Create an order acknowledgement.
- Attach electronic documents to a customer order.
- Attach electronic notes to an order.
- Create an order structure using assemblies and sub-assemblies either from inputting information manually, loading information from the Alphacim library or copying an existing order structure into a new order.
- Attach to each assembly or sub-assembly a production schedule, a CNC program or a drawing, a set of manufacturing instructions and custom data specific to your company.
- Print manufacturing information in the form of route cards for the shop floor and if required associated barcodes to enable the downloading of CNC programs to the machine tool.
- Print stock item requirements for an order or orders.
- Export order information from Alphacim via VBA, allowing your company to automate the manufacturing process to CNC machine tools.
- Create reports for production, enabling your company to meet delivery dates.
- Create delivery notes with an associated invoice.
- Create a credit note.
- Store supplier information, customer information and employee information.
- Create and store product structures within the Alphacim library.
- Create tailored reports for business monitoring, allowing your company to meet a customer’s requirements.
Stock Module
The stock module within Alphacim is designed to allow a company to undertake the following:
- Store information on components purchased within a company.
- Store against components the primary and additional suppliers.
- Store against components the supplier lead time and reorder quantity.
- Assign bills of materials requirements to orders.
- Book deliveries and manufactured items into stores.
- Change stock easily into a quotation or order with alternate stock module when inserting a new assembly from the library.
Purchasing module
The purchasing module within Alphacim is designed to allow a company to undertake the following:
- Create POs and send electronically.
- Track generation of POs by user.
- Track delivery of POs.
- Check delivery date of items, thus monitoring suppliers’ performance.
Shop floor data capture module
The Shop Floor Data Capture module within Alphacim is designed to allow a company to undertake the following:
- Generate bar codes for operations on assemblies.
- Store time via bar codes for hours worked.
- View hours worked on an order or individual assembly.
- View estimated time against actual logged time on an order or assembly.
Accounts link module
The account link module within Alphacim is designed to allow a company to undertake the following:
- Import static data from Sage Line 50 (example Accounts Codes).
- Import and export customer and supplier information from Alphacim and Sage Line 50.
- Export invoice information created in Alphacim to Sage Line 50.
- Export invoice information created in Alphacim to an accounts package via a configurable text file.
Calculation module
The calculation module within Alphacim is designed to allow a company to undertake the following:
- Define calculation routine for assemblies.
- Assign a calculation routine to library assemblies.
- Insert an assembly into a quotation or an order with a standard calculation routine.
- Insert an assembly into a quotation or an order and then select a calculation routine from the calculation library to be applied to an assembly.
- Create a cutting list.
- Type in an expression and Alphacim calculates it into a decimal value (e.g. 1+x = 1.5).
‘IF’ statements allow the user to do the following:
= IF (D1 = 100, 100, 200). IF CELL D1 IS 100 THEN VALUE WILL BE 100 ELSE VALUE WILL BE 200.
Advanced users can also do the following indented IF statements e.g. = IF (A1 = 100, 150+A1, IF (A1>100, 250+A1, IF (A1<100, 50+A1, 100).
Customer Relationship Management (CRM) Module
Alphacim version 7 includes a new CRM module. The new module allows a company to manage the day to day schedule of tasks to be done and also manage marketing campaigns from the initial contact to the final sale. Alphacim’s new CRM module helps a company improve customer service by facilitating communication within the company and with the customer.
